How to Track KPIs Using Monitoring and Alerts

How to create a Dashboard in Swydo to monitor KPI metrics & set up targets with alerts

Steps to Implement Monitoring & Alerts in Swydo

Step 1: Add New Board

Create a monitoring board from the ‘Monitoring’ section (Monitoring > New board).

  1. Click ‘Monitoring’ section in the left menu

  2. Next click the ‘New board’ button on the right hand side of the screen

Step 2: Choose A Client

Next choose the client that you want to monitor.

  1. Choose a client

  2. Click on one of the ‘Available clients’ that you previously setup

  3. Alternatively, click the ‘New client’ button to create a new client

Step 3: Create A Board

Next create your new board.

  1. Enter a ‘Board name’ under ‘Name your board’

  2. Click the ‘Create board’ button to create a new board

Step 5: Add A Widget

Next you’ll see the board that you just created (in the ‘Clients’ section in the left hand side menu).

NOTE: that you’ll edit your monitoring boards from the ‘Clients’ section & you’ll view your monitoring boards from the ‘Monitoring’ section.

Click the ‘New widget’ button to add the metric or KPI that you’d like to track.

Step 6: Add Data Source

Next you’ll choose the data source that you’d like to add a metric or KPI for.

Step 7: Add KPIs

Next you’ll be presented with a list of ‘Preset widgets’.

  1. The ‘Preset widgets’ window will open on the ‘Widgets’ tab. The ‘Advanced’ tab allows you to create widgets with multiple dimensions.

  2. Type the KPI you want to track in the search box

  3. Find your KPI under the ‘PRESET KPIS’ section & click on the KPI you’d like to add to your monitoring board

Step 8: View Monitoring Board & KPI Widgets

Once you’ve clicked on the KPI you selected in the previous step then it’ll show on your monitoring board.

  1. The name of your Monitoring Board appears at the top of the board (click on the name to EDIT)

  2. The KPI you selected will show up on the board with:

    1. Data Source (icon)

    2. KPI Name

    3. KPI metric value (pulled via integration with your data source)

    4. Metric performance (compared to previous month)

Step 9: Add KPI Alert

To add a KPI alert hover your mouse over the widget to show the edit menu.

  1. Click the wrench icon to open the ‘Widget settings’ menu

  2. Next click on the ‘Target’ menu item

  3. Set the KPI Target

    1. Comparison: Greater than, Less than, Equal to

    2. Target Value: the value that will trigger the alert

    3. Value per: Month, 30 Days, 7 Days, Day

Step 10: Setup Notifications for Alerts

When an alert is triggered then you can get a notification sent via email.

  1. Subscribe to alerts triggered by your boards by clicking on the ‘Subscribe’ button

How do the notifications work?

Alerts are triggered per board, based on the status of all KPIs on that board.

You will receive an alert in the following scenarios:

  1. When all KPIs on the board are green and the first one turns red.

  2. When the last red KPI on the already red board turns green.

Important:

  • You will not receive an alert when you add a KPI with a red target, as this does not indicate a change in status.

  • If you add KPIs that are all green and later change one of their targets to red, you will also not receive an alert.


Reading KPI Metrics

Every widget has the following metric comparisons & targets added for quick reference:

  1. Metric Performance (relative to previous period)

    1. Negative value = lower than previous period

    2. Positive value = higher than previous period

    3. Red color = worse performance than previous period

    4. Green color = better performance than previous period

  2. Target Performance (relative to target)

    1. Red icon = target has not been met

    2. Green icon = target has been


Monitor KPI State

You can monitor KPI state visually in both the ‘Clients’ and ‘Monitoring’ sections.

In the ‘Clients’ section:

  1. Click on ‘KPI state’ to open the ‘Filter by KPI state’ drop-down menu

    1. All - show all clients

    2. Bad - show only red/bad clients

    3. Good - show only green/good clients

  2. You can also see the ‘KPI state’ in the column to the right of each client - this is especially useful if you have a long list of clients to check

In the ‘Monitoring’ section:

  1. Click on ‘KPI state’ to open the ‘Filter by KPI state’ drop-down menu

    1. All - show all clients

    2. Bad - show only red/bad clients

    3. Good - show only green/good clients

  2. You can also see the KPI status icons (green/red) next to the Subscribe button - get a quick visual indication of good/bad KPIs for each board


Edit KPI Widget Options

Every widget has the following widget edit options (hover over the widget to reveal the edit menu):

  1. Edit settings - opens the ‘Widget settings’ menu

  2. Set widget size - menu that allows you to change the widget’s size

  3. Copy widget - single click copy/clone widget

  4. Save / Delete - options to save or delete the widget

  • Choose relevant KPIs: Focus on metrics that directly impact your business goals

  • Set realistic targets: Establish achievable benchmarks based on historical data and industry standards

  • Customize alert thresholds: Configure notifications to trigger at meaningful levels to avoid alert fatigue

  • Group related metrics: Organize your dashboard for easy analysis and quick insights

  • Regularly review and adjust: Periodically reassess your monitored KPIs and alert settings to ensure they remain relevant
